A dynamic company is seeking an Executive Assistant to join their office located in Queens, New York. The successful candidate will provide comprehensive support to the CEO and senior leadership, managing a variety of administrative duties to ensure smooth operations.
Hybrid schedule: 3 days per week in office
Salary: $85k - $100k
Hours: 9:30 AM - 6:00 PM ET
Responsibilities:
- Manage heavy, complex calendar scheduling, prioritize meetings, and coordinate executive needs
- Arrange complex travel logistics, including hotel, transportation, and restaurant reservations
- Handle expenses and prepare expense reports
- Manage incoming calls, messages, and correspondence, screening calls and routing critical communications
- Coordinate meetings and events, including anticipating needs such as presentation tech, communications devices, catering, etc.
- Ensure all communications are sorted and distributed efficiently
- Assist with conference and event planning
- Maintain a high level of confidentiality and handle sensitive information with discretion
- Conduct research and provide planning support for special projects
- Provide additional assistance to the executive team as needed
Requirements:
- 6+ years of administrative support experience
- Bachelor’s Degree preferred
- Ability to maintain a calm demeanor and manage multiple priorities in a fast-paced environment
- Excellent organizational and multitasking abilities, with strong attention to detail
- Exceptional written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
